Board Subcommittee for Communications Meeting Notes
September 17, 2014 - Board Room 10:00 a.m.

I. CALL TO ORDER- Meeting was called to order at 10:12 a.m. by Mr. Leous.
 
Present: Sara Brennen, Amber Concepcion, Scott DeShong, Penni Fishbaine, Jim Leous, Julie
Miller, Robert O’Donnell, Laurel Zydney
 
II. STATE HIGH PROJECT COMMUNICATION FRAMEWORK REVIEW
Mr. Leous commented that the communications plan by month was very helpful and we should
continue with that, expanding as meetings/events are added. The first three months have been
started - September 2014, October 2014, November 2014 to include the 30% review dates.
 
III. STRATEGIC PLAN COMMITTEE FEEDBACK REVIEW
● Student feedback was important and will continue throughout process
● Potential for hosting a live chat with the design team and the best timing might be at the
60% review
● Implementing a blog to provide an update; supplement the State High Project website
● Continue accessing student voice and sharing so community members know we have
included them in feedback
 
IV. 30% REVIEW COMMUNITY FORUM DISCUSSION
The committee discussed: The need to update the website for both State High Project and
Facilities, and provide a recap of where we are and how we got here (architects hired, Massaro
Construction, etc.), and the possibility for a design charette for some of the design areas,
especially the site plan and floor plan. It would be good to keep the feedback in major areas in
order to efficiently share that information with the facilitators and key people. It is important to
maintain the opportunity for public comment and provide comment cards on the front end of the
forum so people who may need to leave early could still be heard. A supply of butcher sheets
should be available in each classroom for feedback in each session. The committee members
feel most interest in phasing, floor plan, and Delta. The Municipal Advisor should be there to
provide information and coverage, board members could be floating, greeting people, handing out
comment cards, and being available for conversation. The group spoke about having signs on
leading up to 10/29 forum on the south side of the street, business students could be involved,
public service announcements, radio spots, and having the community forum date on all the
future agenda planning starting now. It will also need to be made clear to the public what changes
means at this point from a financial standpoint - deletions can be managed, changes/additions
may require something else to be removed.
